Job Description:

The Front Office Administrative Assistant provide support to managers, other employees, and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.Duties and Responsibilities:Greet and welcome guests as soon as they arrive at the office with a positive, helpful attitude.Answer, screen, and forward incoming phone calls in a friendly, professional manner.Ensure reception area is tidy and presentable.Provide basic and accurate information in-person and via phone/email.Receive, sort and distribute daily mail/deliveries, including scanning and emailing documents to remote recipients.Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).Order office supplies and keep inventory of stock.Clerical duties such as filing, photocopying, transcribing and faxing.Assist in the preparation of regularly scheduled reports, presentation materials, and other employee documentation, as needed.Maintain a filing systemMaintain contact listsLiaise with executive and senior administrative assistants to handle requests and queries from senior managers.Prepare the office every morning and every close of business.Assist colleagues with administrative tasks or performing ad-hoc administrative duties.Assist with company car management and maintenance.Event coordination and planning.Completes special projects and other tasks, as assigned. --Mandatory Qualification:Proven work experience as a Receptionist, Front Office Representative or similar role/administrative assistant,--virtual assistant--or office admin assistantProficiency in Microsoft Office SuiteExperience with office equipment (e.g. fax machines and printers)Professional attitude and appearanceAbility to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksKnowledge of office management systems and proceduresExcellent time management skills and the ability to prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plusDriver's license/ willingness to drive for company as neededPositive friendly attitude
