Job DescriptionTITLE: Ticketing + Box Office LeadREPORTS TO: Logistics ManagerTERM: Contract, Jul 15, 2022 - May 30, 2022LOCATION: Charleston, SCOVERVIEW: The Box Office Lead is responsible for overseeing all of the ticketing + access needs for the organization and is integral in maximizing sales and assisting with overall business growth. This team member knows ticket options and events inside and out, has a strong ability to upsell and make strategic suggestions to guests, and has a keen ability to synthesize data to predict sales patterns. The focus of this work will include data gathering and analytics as well as keeping up with weekly metrics supporting ticket sales and breakdowns. A strong candidate will be detail-oriented and organized in addition to having an authentic connection to Charleston Wine and Food's mission. Use of a personal computer and/or laptop is required. PRINCIPAL ACCOUNTABILITIES:

  • Develop and manage an in-office box office strategy and on-site box office during the festival
  • Serve as point of contact and liaison between the organization and the primary and post-primary ticketing companies
  • Monitor ticket sales and create weekly reports identifying key trends and analytics
  • Oversee and manage all direct ticketing communications sent to guests
  • Manage email account and respond accordingly
  • Coordinate delivery of event guest lists to host restaurants in conjunction with the Programming Team
  • Oversee and manage ticketing budget and track all ticketing-related expenses
  • Manage the VIP Early Access ticket purchasing program in partnership with the Development Department
  • Develop a process for managing ticket holds + complimentary tickets, and oversee the issue of all these tickets
  • Manage ticket launch plan in conjunction with other supporting departments
  • Execute ticket donation requests received and issue at the discretion of Business Manager
  • Create an on-site festival ticketing + access plan, complete with badging + wristband strategy and box office set-up
  • Develop festival-wide ticketing staffing and check-in plan; hire and train support staff
  • Oversee the ordering of all festival credentials in conjunction with the Brand + Creative Manager
  • Order ticket and badge scanners in conjunction with third party vendors; responsible for overseeing throughout the rental duration
  • Gain a full understanding of event layouts, entrances, and points of egress in conjunction with Logistics Manager
  • Responsible for managing (with the support of ticketing staff) the ticketing + entrance points of large Signature Events, Culinary Village, and any other festival footprint as identified by Event Manager
  • Work with the Volunteer Coordinator to train volunteers and additional ticketing staff on event entry procedures
  • Work with Director of Experience to identify and develop all ticketing and access signage
  • Act as a customer sales and support liaison for the organization
  • Field and manage any ticketing related issues
  • Responsible for contributing to post-festival recaps with ticketing metrics
  • Work with Guest Experience Coordinator to field and respond to all guest feedback post-festival
  • Act as a brand representative of Charleston Wine + Food and portrays our values of people first, community, and good stewardship.

    • Required to be available and present for all key organizational dates and events, including but not limited to, ticket launch, off-season event(s), team planning meetings, team planning retreat(s), Festival week (including setup and break down), and weekly team meetings
      • Able to see trends through transferable knowledge and communicate them effectively
      • Experience with Slack, CRM and Event/Project Management Software is a plus
      • People-person with excellent communication, listening, and negotiation skills, who is passionate about building and maintaining community connections and long-term relationships
      • Ability to work in a fast-paced environment, managing multiple projects with shifting deadlines
      • Strong ability to work strategically and efficiently in a team setting
      • Well-organized with diligent attention to detail
      • Curiosity and willingness to learn
        • Must provide own laptop and cell phone that is able to run cloud-based softwares and apps
        • Proficient in G Suite and experience with database management using Excel and/or Google Sheets
        • Minimum 2 years of work experience in customer service, or related areas of experience   
        • Must have the ability to direct conversations and resolve guest inquiries in-person, over the phone, through email or other listed mediums  
        • Experience in the hospitality industry, or comparable experience appreciated, but not required
        • Comfortable working in an outdoor setting (rain, cold, mud)
        • Ability to do some physical work, must be able to lift up to 50 lbs. (lifting boxes, field set-up)REQUIRED DATES:
          • Schedule to be determined upon hire
            • Must attend the following year round meetings:
            • Weekly Team Meetings
            • Weekly Programming + Events Department Syncs
              • Must be available and present for Winter Planning Meetings/Retreat (TBD) + 2023 Festival Recap Meeting (TBD).
