SUMMARY TICO is an equipment logistics solutions company that has been in business since 1946. While based out of Savannah, TICO has locations throughout the coastal and interior United States. Our Port business is expanding and we are looking for an Administrative Support Specialist for our Port of Charleston location.

Assist the Administrative Assistant with data input, billing, reporting, filing and daily general office functions by performing the following duties. Perform quality data entry work within deadlines with or without direct supervision. This position is responsible for accuracy, efficiency, and retrieval of processed data. This position must proof data entered, as well as generate data reports as required. Assist the Administrative Assistant with routine clerical and HR designated functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Work directly in conjunction with the Administrative Assistant as a support role, in receiving administrative workload as it is directed and disseminated.
• Prepares and completes required monthly reports, for dedicated/pool customers, including utilization, tractor hours, timely paid reports and tracking customer tractors in and out.
• Complete all Charleston accident reporting, filing, and billing requirements.
• Assist in the verification and preparation in Potential Earned Discount Reports as required.
• Reconcile CORR information with Equipment Rental Reports and other Operational paperwork.
• Prepare invoices for trucks, hobbs hours and for leased trailers as required for dedicated/pool customers.
• Open, close, and batch out Charleston work orders.
• Respond to Charleston visitors and incoming phone calls from customers, vendors and parts inquiries. Transfer calls to the appropriate location.
• Verify and perform data entry of Input Hobbs and PM Hobbs hour meter service data.
• Log Charleston employee sick/vacation hours and prepare sick leave/vacation request forms for and with employees as needed as to assist them in Paycor.
• Perform data entry using TMW, Dynamics, word processing, spreadsheet or database commands, and format material as required.
• Enter, revise and/or combine numerical data, and preformatted data retrieval information.
• Create data directories/subdirectories for file storage and report generation retrieval purposes. Maintain paper and/or disk file of entered data.
• Perform routine maintenance tasks related to hardware/software or files and respond to technical assistance requests as necessary.
• Review discrepancies in data received, request clarification or advise supervisor of issues related to data.
• Compile, sort, and verify the accuracy of data before it is entered, reviewing discrepancies in data received, request clarification, or advise supervisor/manager of issues related to data, and perform data verification routines in accordance with Company procedures.
• Locate and correct any data entry errors or report them to supervisor/manager.
• Read source documents such as Operations' paperwork, tire work-orders, etc., and enter data in specific data fields, utilizing computer keyboard.
• Store completed documents in appropriate computer directories and subdirectories.
• Provide assistance with routine clerical and telephone functions including filing, copying of documents, and preliminary processing of Charleston Operations applicant/new hire paperwork.
• Perform other duties as required by the Terminal Manager and/or Operations Manager.
• Comply with Company/agency policy/procedures. Maintain a clean and safe work environment. Wear required personal protective equipment during performance of job duties.
