FLSA: SalariedJob Summary: The Hollings Cancer Center Fiscal and Procurement Coordinator serves as the primary Buyer for the Hollings Cancer Center, the HCC Clinical Trials Office (CTO) and the HCC shared resources and as the resource person on purchasing policies and procedures. Coordinates fiscal activities for the HCC and the Clinical Trials Office and responsible for reconciling HCC and the HCC CTO projects on a monthly basis.Payscale Salary Range: UNIV-Band 6: $41,778.00 - $59,538.50 - $77,299.00 (min - mid - max)Job Duties: 35% - Coordinates fiscal activities for the Hollings Cancer Center and the Clinical Trials Office. Serves as resource person on purchasing policies and procedures. Processes purchasing documents using UMA, HSF, state, COM, Provost, and grant funds for approximately 125 faculty and staff located in the Hollings Cancer Center and the Clinical Trials Office and to include six cores along with HCC Development and Lowvelo fundraisers. Monitors status of maintenance contracts, preventative maintenance & supply levels for HCC Shared research equipment. Acts as liaison between the HCC/Clinical Trials Office and Procurement, Grants Accounting, Accounts Payable and other University Departments and vendors. Advises faculty and lab personnel on purchasing policies and procedures. Evaluates quotes and information on equipment and supplies as mandated by State Procurement policies and procedures for Hollings Cancer Center and the Clinical Trials Office. Process routine purchases, purchases with reporting classifications of SS, SC, AC, EX, UA, Emergency and Direct Pays through the University's Marketplace according to state and federal statues, policies established by the S.C. Consolidated Procurement Code and Regulations (SCCPC) and MUSC policy and procedures. Process all assigned Professional Services Agreements (PSA) through the University's Marketplace according to state and federal statues, policies established by the S.C. Consolidated Procurement Code and Regulations (SCCPC) and MUSC policy and procedures. - (Essential)30% - Responsible for reconciling Hollings Cancer Center and the Clinical Trials Office projects on a monthly basis. Confirming purchases charged in ERP are reflected in UMS. Work with project managers to update the undocumented purchases and revenues not reflected in UMS. Maintains computerized records (UMS, Smartstream, Works and Marketplace) of transactions and follow up activities. Assists Accounting/Fiscal Manager 1 with reporting and allocations for special events processed by MUSC foundation, including the LowVelo fund raiser which brought in approximately $1 million dollars for cancer research. - (Essential)20% - Allocates in WORKS approximately 200-250 monthly credit card expenditures. Reconciles and reviews accounting reports for accuracy and status of activity. Identifies, researches and resolves specific outstanding financial documents. Serves as resource person on credit card policies and procedures. Audit vendor statements, investigate and clear items over 30 days. Maintain documentation in compliance with MUSC, State and Federal guidelines. - (Essential)10% - Contribute to creating a set of standard operating procedure. Other Duties as assigned to include ERP implementation support, coordination activities with Accounts payable, support for the Process to procure Initiative. Responsible for fiscal year closeout. Annually, purge prior fiscal year documents and set up new files in accordance with MUSC and State record keeping policies and procedures. - (Essential)Minimum Experience and Training: A bachelor's degree and two years relevant program experience.Physical Requirements: Ability to perform job functions in an upright position.
